Document Versioning

Contracts get amended, renewed, and updated. Document versioning lets you upload new versions of a contract while keeping the full history of previous versions.

Automatic Extraction

When you upload a new version, Renewly automatically extracts the contract data from the new document. The previous version and its data are preserved in the version history.

Uploading a New Version

  1. Open the contract you want to update.
  2. Scroll to the Version History section.
  3. Click Upload new version.
  4. Optionally add a note describing what changed (e.g. "Amended payment terms").
  5. Select the new PDF file.

The new version becomes the current version immediately. The contract's file, dates, and extracted data will update once extraction completes.

Version History

The Version History section on each contract shows all uploaded versions, newest first. Each entry shows:

  • Version number - Automatically incremented (v1, v2, v3...)
  • Current badge - Marks which version is active
  • Extraction status - Shows whether data extraction completed, is in progress, or failed
  • Upload note - Your description of what changed
  • File name and size - The original file details
  • Upload date - When the version was added

Downloading Previous Versions

Click the download icon next to any version to get a secure download link. Links expire after one hour for security.

Deleting Versions

You can delete any version except the current one. Deleting a version permanently removes the file and cannot be undone.

Cannot Delete Current Version

The current (latest) version cannot be deleted. Upload a new version first if you need to replace it.

Permissions

  • Viewing versions - Anyone who can view the contract can see the version history.
  • Uploading versions - Contract owners and organisation admins can upload new versions.
  • Deleting versions - Same as uploading - owners and admins only.

FAQ

What happens to the old version's data?

Each version stores its own extracted data independently. The contract detail page always shows data from the current version.

Is there a limit on versions?

There is no limit on the number of versions per contract. Each version counts towards your storage usage.

Can I revert to an older version?

Not directly. To restore an older version, download it and upload it as a new version.
