Overview

The Analytics dashboard provides a comprehensive view of your entire contract portfolio, helping you:

  • Assess overall portfolio health and risk exposure
  • Identify trends in contract renewals and expirations
  • Analyze spending by vendor and category
  • Track financial risk with Value at Risk (VAR) metrics
  • Make data-driven decisions about contract management

Portfolio Health Score

Your Portfolio Health Score is a single metric (0-100) that reflects the overall condition of your contract portfolio.

How It's Calculated

The health score is based on multiple factors:

  • Risk distribution (40%): Proportion of contracts with Low, Medium, or High risk severity
  • Expiration proximity (30%): How many contracts are expiring soon vs. far in the future
  • Extraction completeness (20%): Whether contracts have complete extracted data
  • Auto-renewal liability (10%): Exposure from contracts with auto-renewal clauses

Score Ranges

  • 90-100 (Excellent): Portfolio is well-managed with low risk exposure
  • 75-89 (Good): Generally healthy with minor areas for improvement
  • 60-74 (Fair): Some risk factors present, attention recommended
  • Below 60 (Needs Attention): Significant risk exposure or upcoming renewals requiring action

How to Improve Your Score

  1. Review high-risk contracts: Address contracts flagged with High severity risks
  2. Monitor expiring contracts: Take action on renewals 90+ days before expiration
  3. Complete missing data: Edit contracts to fill in any missing fields
  4. Manage auto-renewals: Review contracts with auto-renewal clauses to ensure they align with your needs
  5. Add tags: Organize contracts for better visibility and tracking

Value at Risk (VAR)

Value at Risk measures the total financial exposure from contracts that require attention due to upcoming renewals or identified risks.

What It Means

VAR represents the dollar amount of contracts that:

  • Are expiring within the next 90 days
  • Have High severity risks identified by analysis
  • Have auto-renewal clauses that may trigger soon
  • Are in expired status but still represent financial obligations

Time Periods

VAR is tracked across multiple time horizons:

  • 30-day VAR: Immediate attention required
  • 90-day VAR: Near-term risk exposure
  • 12-month VAR: Long-term planning horizon

Auto-Renewal Liability

A subset of VAR specifically tracking contracts with auto-renewal clauses. This helps you identify:

  • Contracts that will automatically renew unless you take action
  • Notice periods required to cancel or renegotiate
  • Potential lock-in commitments
High VAR isn't always bad—it simply means you have significant contract decisions to make. Use it as a planning tool.

Understand your contract distribution and spending by vendor.

Top Vendors by Value

  • See which vendors represent the most spending
  • Identify consolidation opportunities
  • Track vendor relationship concentration

Top Vendors by Contract Count

  • Discover vendors with multiple active contracts

Vendor Risk Assessment

  • View average risk severity across all contracts with each vendor
  • Identify vendors with consistently high-risk contracts

Tag Analytics

Most Used Tags

  • See which tags you use most frequently
  • Understand contract categorization patterns
  • Identify opportunities to consolidate or refine tags

Contract Distribution by Tag

  • Visualize how contracts are distributed across departments, types, or priorities
  • Spot imbalances (e.g., too many contracts in one category)
  • Track organizational structure through contract distribution

Tag Strategy

Use consistent tags for better analytics. Consider tagging by: Department (IT, Finance, HR), Type (SaaS, Vendor, Service), Priority (Critical, Standard, Low), or Vendor (Company names).

Visualize your contract portfolio's evolution over the past 12 months and upcoming 12 months.

12-Month Trend Visualization

  • Contracts Added: Track new contracts uploaded each month
  • Contracts Expired: Monitor contracts reaching their end dates
  • Net Change: Understand if your portfolio is growing or shrinking

What to Look For

  • Spikes in expirations: Months with many renewals requiring attention
  • Growth patterns: Steady increase in contract count may indicate business growth
  • Seasonal patterns: Many organizations renew contracts at fiscal year-end

Risk Distribution

Track the severity of identified risks across your portfolio over time.

Risk Severity Breakdown

  • Low Risk: Minor concerns or standard clauses
  • Medium Risk: Moderate concerns requiring review
  • High Risk: Significant issues requiring immediate attention

Risk Trends

  • Monitor if your portfolio risk is increasing or decreasing
  • Identify patterns in risk severity over time
  • Measure the effectiveness of risk mitigation efforts

Minimum Requirements

To access the Analytics dashboard, you need:

  • Pro subscription: Analytics is a Pro-tier feature
  • At least 3 contracts: Minimum data set for meaningful analytics
  • Completed extraction: Contracts must have successful automatic extraction
If you don't see the Analytics page in your navigation, ensure you have a Pro subscription and have uploaded at least 3 contracts.

Refreshing Analytics

Analytics data updates automatically:

  • Real-time: Metrics refresh when you add, edit, or delete contracts
  • No manual refresh needed: The dashboard always shows current data
  • Historical tracking: Trends accumulate over time as you use Renewly

Exporting Analytics Data

While the Analytics dashboard is visual, you can export underlying contract data:

  1. Go to the Contracts page
  2. Click "Export to CSV" to download all contract data
  3. Import into Excel, Google Sheets, or BI tools for custom analysis
