Everything you need to know about using Renewly

Calendar Sync

Connect your Google Calendar or Microsoft Outlook to automatically sync contract renewal dates and receive calendar reminders before important deadlines.

Supported Calendars

  • Google Calendar: Sync renewal dates to your primary Google Calendar with email reminders at 30, 60, and 90 days before renewal
  • Microsoft Outlook: Sync to your Outlook calendar with customizable reminder notifications before renewal dates

How to Connect Your Calendar

  1. Navigate to Settings: Go to Settings → Calendar Integrations
  2. Choose Your Provider: Click "Connect" next to either Google Calendar or Microsoft Outlook
  3. Authorize Renewly: You'll be redirected to Google or Microsoft to grant calendar access. Renewly only requests permission to create and manage calendar events—we never read your existing calendar data
  4. Wait for Initial Sync: After connecting, Renewly automatically syncs all existing contract renewal dates to your calendar (usually 30–60 seconds)
  5. Done: New contracts will automatically create calendar events, and updates to renewal dates sync instantly

How Calendar Sync Works

Automatic Two-Way Sync

  • New contracts automatically create calendar events
  • Renewal date changes update the calendar event
  • Deleted contracts remove the calendar event
  • Calendar reminders sent at 30, 60, and 90 days (Google) or custom intervals (Microsoft)

Managing Your Connection

Manual Sync

Calendar sync happens automatically, but you can trigger a manual sync at any time:

  1. Go to Settings → Calendar Integrations
  2. Click "Sync Now" next to your connected calendar
  3. Wait for sync to complete (usually 10–30 seconds)

Disconnect Calendar

To disconnect your calendar integration:

  1. Go to Settings → Calendar Integrations
  2. Click "Disconnect" next to your connected calendar
  3. Confirm the disconnection

Important: When you disconnect, all Renewly-created calendar events will be removed from your calendar. You won't receive calendar reminders for renewals anymore.

Multiple Calendars

You can connect one Google Calendar and one Microsoft Outlook calendar per account. Events will be synced to both if you have both connected.

Calendar Permissions

Renewly requests minimal calendar permissions:

  • Google: calendar.events (create/edit/delete events) and userinfo.email (identify your account)
  • Microsoft: Calendars.ReadWrite (manage calendar events) and User.Read (basic profile info)

We never read your existing calendar events or access other calendars. We only create, update, and delete events related to your Renewly contracts.

Privacy & Security

Your calendar access tokens are encrypted using AES-256-GCM encryption. Renewly staff cannot access your calendar data. You can disconnect at any time to revoke access.

Troubleshooting

Calendar Events Not Appearing

  • Check that sync status shows "Success" in Settings
  • Verify you're looking at the correct calendar (primary for Google, default for Microsoft)
  • Try clicking "Sync Now" to trigger a manual sync
  • Make sure your calendar app is refreshed

Sync Status Shows "Failed"

  • Your calendar connection may have expired—try disconnecting and reconnecting
  • Check that you granted Renewly calendar permissions during authorization
  • If the problem persists, contact support with the error details

Pro Tip: For maximum visibility, use both calendar sync and email renewal alerts. This gives you reminders in multiple places so you never miss a critical renewal date.
