Every machine has a service schedule. Does every contract?
Maintenance agreements, equipment and forklift hire, ERP and design licences, waste collection and facilities contracts each renew on their own date, often held by a different site or department. Renewly reads every contract and tells you the last day you can say no.
The contracts behind the factory floor renew on their own
Maintenance contracts roll over for another year
Service and maintenance agreements often renew automatically, with a notice period of 90 days or more. Miss the window and the contract, and the price increase written into it, runs for another full term.
The uplift arrives with the renewal
Annual increases, indexation clauses and minimum terms sit in the small print. By the time the invoice shows the higher price, the chance to challenge it has usually passed.
Contracts live in different departments
Engineering holds the machine maintenance, production the equipment hire, finance the ERP, facilities the waste and cleaning. Each site has its own folder, and nobody sees the whole picture or what each department spends per year.
Every contract. Every deadline. One list.
- 2.1Upload the contractsMachine maintenance, equipment and forklift hire, ERP and design software, waste collection, IT and telecoms, insurance, facilities. Upload the PDFs, or forward the renewal email to your Renewly inbox.
- 2.2Renewly reads the termsFor each contract: the supplier, the value, the renewal date, the notice period and whether it renews automatically. It works out the last day you can cancel or renegotiate, and lists the key terms it finds, such as increase clauses.
- 2.3The owner gets the alertAssign each contract to the person who manages it, at any site. Alerts go out 90, 60, 30 and 7 days before the last day to act, in time to renegotiate before the uplift lands.
Built for contracts spread across sites and departments
Notice deadline calculation
Reads 'six months written notice' and turns it into a calendar date. No counting back from the renewal date.
Auto-renewal detection
Every contract that continues automatically is flagged when you upload it, not when the invoice arrives.
Spend by department or site
Tag each contract with the site or department it belongs to, and see what each one spends per year.
Key terms on the page
Renewly lists the key terms and obligations it finds in each contract, so an increase clause or minimum term is not buried in the small print.
Forward renewal emails
Suppliers send renewal notices by email. Forward them to your @in.renewly.gg address and the contract is captured, with nothing to file.
Search every contract at once
Ask one question across all sites: which renew automatically, which have notice periods over 90 days, which are above a set value.
An illustrative example of how it goes wrong
A manufacturer's machine maintenance agreement renews automatically each year, with a three-month notice period and an annual increase written into the terms. The engineer who signed it has moved on, and the contract sits in a folder at one site. The notice date passes in the spring, and the agreement runs for another year at the higher price.
Nobody decided to renew it. The date passed while the contract was in the wrong folder.

Questions people ask.
We already have a maintenance management system. Why do we need this?
A maintenance system schedules the work on your machines. Renewly tracks the contracts behind them: when each maintenance, hire or licence agreement renews, and the last day to give notice.
Can Renewly read older scanned contracts?
Yes. Renewly reads scanned PDFs as well as digital ones, and you can forward renewal emails too. Very poor scans can miss details, so check the extracted dates on anything important, above all the notice period.
Does Renewly handle our energy contracts?
Renewly tracks the renewal date and notice period of an energy contract like any other agreement. It does not compare tariffs, switch suppliers or negotiate prices.
Can each site or department see its own contracts?
Yes. Every plan includes team access (Free and Starter 3 seats, Business 10). Assign each contract to the person who manages it and each gets their own alerts. Tags group contracts by site or department.
Does Renewly connect to our ERP?
Not directly. Renewly works from the contracts themselves, uploaded or forwarded by email. On Business and above there are webhooks and an API if you want to pass renewal dates into other tools.
