RenewlyContract renewal management (Renewly home)
For Accounting Firms

You reconcile every client to the penny. Who reads your own renewal notices?

The firm's own software, payroll platform and office contracts renew in the middle of busy season, and the notices get signed on the terms in front of you. Renewly reads each agreement and tells you the last day you can say no, early enough to decide in a quiet month.

1

The firm's own contracts renew when nobody has time

Renewals cluster in the busiest weeks

Most practices bought their core software around a year-end or a January onboarding push, and anniversaries follow the signing date. So the practice management, tax and payroll renewals arrive alongside December year-ends and the 31 January self-assessment deadline, when nobody has an hour to spare.

Seats sized for the busiest stretch

Per-seat software is licensed when seasonal staff are in. They leave in February or March; the licence count does not, because comparing the user list with current payroll is nobody's standing job. On an annual plan, the correction has to happen before the renewal.

Price changes arrive inside the renewal notice

Tax and accounts production suppliers often announce next season's price in the same autumn notice. Read under pressure, it gets read for the date, not the seat count or the new price. Switching mid-season is close to unthinkable, so the decision has to be made before the window closes.

2

One renewal has a regulator watching. The rest have nobody.

Professional indemnity cover has to stay in force

For UK accountancy practices that hold a practising certificate, professional indemnity cover generally has to stay in force continuously, and regulators monitor it. That renewal usually has a broker chasing it. Upload the policy schedule and Renewly tracks its renewal date alongside everything else.

Everything else runs on autopilot

Practice management, tax and accounts production, the payroll bureau platform, the client document portal, e-signature and research subscriptions, the office lease and the copier. Each has its own term, renewal date and notice period, and most renew automatically unless someone gives notice in time.

3

Every supplier contract. Every deadline. One list.

  1. 3.1Upload the agreementsSoftware contracts, the payroll platform, the document portal, the lease, the copier, the PI policy schedule. Upload the PDFs, or forward the renewal email to your Renewly inbox.
  2. 3.2Renewly reads the termsFor each contract: the supplier, the value, the renewal date, the notice period and whether it renews automatically. It works out the last day you can cancel or renegotiate.
  3. 3.3The right partner gets the alertAssign each contract to the person who owns it. Alerts go out 90, 60, 30 and 7 days before the last day to act, so the decision can happen in a quiet month instead of in January.

Built for the practice, not a procurement team

Notice deadline calculation

Reads '60 days prior written notice' and turns it into a calendar date. No manual counting back from the renewal date.

Auto-renewal detection

Every contract that continues automatically is flagged when you upload it, not when the invoice arrives.

Costs in one place

Every contract's value in one list, so the partners can see what the firm's own suppliers cost each year before any of them renew.

Export for the partners' meeting

On Starter and above, a one-click export of every contract, value and deadline, ready for a budget review or the year-end file.

Forward renewal emails

Suppliers send renewal notices by email. Forward them to your @in.renewly.gg address and the contract is captured, with nothing to file.

Search every contract at once

Ask one question across all your agreements: which renew automatically, which have notice periods over 60 days, which are above a set value.

An illustrative example of how it goes wrong

A twelve-partner firm licenses its practice management suite for forty-five seats during a busy season. By spring the working headcount is thirty-two. The renewal notice arrives in late November with a 60-day notice window, and it is read for the date, not the seat count.

The suite renews for another year at forty-five seats. Nobody chose that number for the year ahead; it was carried forward from the last busy season.

6

Move the decision into a quiet month

Renewly Starter is $149 a month for up to 100 contracts. Compare that with thirteen unused seats on a practice management suite for another year.

No implementation project and nothing to install. Upload the contracts and the deadlines appear.

Questions people ask.

Our practice management software already tracks deadlines. Why do we need this?

Practice management software tracks your clients' deadlines: filings, returns, year-ends. It does not read the notice periods in the firm's own supplier contracts. Those are a separate list, and they are the ones that renew without anyone deciding.

Can Renewly read scanned contracts and old lease PDFs?

Yes. Renewly reads scanned PDFs as well as digital ones. Very poor scans can miss details, so check the extracted dates on anything important, above all the notice period.

Where is our data stored?

When you sign up you choose a data region: the EU (Frankfurt) or the US. Your contracts, files and login accounts are stored in the region you choose. The full list of suppliers we use is on our trust page.

Can each partner see their own contracts?

Yes. Every plan includes team access (Free and Starter 3 seats, Business 10). Assign contracts to specific owners; each person gets their own alerts.

What happens when the practice manager who signed a contract leaves?

Reassign the contract to someone else in one click. They inherit the alert schedule, so the deadline does not leave with the person.
