Everything you need to know about using Renewly

Renewal Alerts

Never miss a vendor contract renewal deadline with automated email alerts.

How Renewal Alerts Work

Renewly automatically monitors all contracts and sends email notifications before renewal dates:

  • 90 days before: First alert (early warning)
  • 60 days before: Second alert (planning time)
  • 30 days before: Final alert (action required)

Alerts are automatic. Once you upload a contract with a renewal date, alerts are enabled by default. No setup required.

Pro Tip

Combine email alerts with Calendar Sync to receive reminders in both your email and calendar. This ensures you never miss a renewal deadline!

What's Included in Alerts

Each renewal alert email contains:

  • Contract name and party information
  • Days until renewal date
  • Contract value and key terms
  • Link to view full contract details
  • Recommended actions

Managing Email Preferences

Control your renewal alert settings:

  1. Go to Account Settings
  2. Navigate to "Email Preferences"
  3. Toggle renewal alerts on/off globally
  4. Choose which alert timing to receive (30/60/90 days)

Disabling Alerts for Specific Contracts

To disable alerts for a single contract:

  1. Open the contract details page
  2. Click "Settings" or "Edit"
  3. Toggle "Renewal Alerts" off
  4. Save changes

Troubleshooting Alerts

Not Receiving Alerts?

Check these common issues:

  • Spam folder: Check your junk/spam folder
  • Email preferences: Ensure alerts are enabled in Account Settings
  • Renewal date: Verify the contract has a future renewal date
  • Contract alerts: Check if alerts are disabled for that specific contract

Too Many Alerts?

If you're receiving too many notifications:

  • Disable specific alert timings (e.g., only receive 30-day alerts)
  • Turn off alerts for non-critical contracts
  • Use email filters to organize Renewly alerts

Auto-Renewal Trap Alerts

Renewly sends two distinct types of renewal notifications:

  • Standard renewal reminders fire before the renewal date — these are informational reminders that a contract is coming up for renewal.
  • Trap alerts fire before the notice deadline — these require action. If you miss the notice deadline, the contract auto-renews and you're locked in for another term.

The notice deadline is always earlier than the renewal date. For example, a contract renewing on June 1 with a 90-day notice period has a notice deadline of March 3. Trap alerts count down to March 3, while standard reminders count down to June 1.

For full details on trap severity levels, dashboard cards, and escalation schedules, see Auto-Renewal Traps.

Custom Alert Timing (Pro)

Custom alert schedules will be available for Pro users in a future update, allowing you to set your own alert timing (e.g., 45 days, 15 days, 7 days).
