Teams
Collaborate on vendor contract management by creating teams, inviting members, and sharing contracts across your organization.
Creating a Team
Create an organization to start collaborating with your team:
- Click the org switcher dropdown in the sidebar
- Select "Create Organization"
- Enter your organization name
- Click "Create" to set up your team
You can also create a team from Settings → Team. Once created, you'll automatically become the team admin.
Tip
Inviting Members
Invite colleagues to join your organization:
- Go to Settings → Team
- Click "Invite Member"
- Enter the member's email address
- Select a role: Admin, Member, or Viewer
- Click "Send Invite"
The invited user will receive an email with a link to accept the invitation. They can join as an existing Renewly user or create a new account.
Domain Validation
Email addresses are validated when sending invitations to ensure they are well-formed and deliverable. You cannot invite an email address that is already a member of the organization.
Roles & Permissions
Each team member is assigned a role that determines their level of access:
Owner
- The workspace creator. Everything an admin can do, plus owner-only settings such as enabling department-scoped visibility
- Always sees all contracts
- Cannot be removed or demoted by other members
Admin
- Full access to all contracts in the organization
- Invite new members and manage existing members
- Change member roles
- Remove members from the organization
- Upload, edit, and delete contracts
- Manage team settings and departments
Member
- Upload, edit, and organize contracts
- Cannot invite or manage other members or change team settings
- If the workspace uses department-scoped access, members only see contracts in their assigned department(s)
Viewer
- Read-only access to organization contracts (limited to their assigned departments if the workspace uses department-scoped access)
- View contract details, extraction results, and analytics
- Cannot upload, edit, or delete contracts
- Cannot invite or manage other members
Managing Members
Admins can manage team members from Settings → Team:
- Change roles: Switch a member between Admin, Member, and Viewer
- Remove members: Remove a member from the organization
Last Admin Protection
Switching Workspaces
Use the org switcher in the sidebar to switch between organizations if you belong to multiple teams:
- Click the org switcher dropdown to see all available workspaces
- Select a workspace to switch to it
- Contracts, analytics, and settings update to reflect the selected workspace

Team Settings
Access team settings by navigating to Settings → Team. From here you can:
- View all current members and their roles
- Send new invitations
- Manage pending invitations
- Change member roles
- Remove members
Invitation System
The invitation system is designed to be secure and straightforward:
- 7-day expiry: Invitations expire after 7 days if not accepted
- Resend with cooldown: You can resend an invitation, but there is a cooldown period between resends to prevent spam
- Accept as existing user: If the invited person already has a Renewly account, they can accept the invitation and join the team immediately
- Accept as new user: If they don't have an account, the invitation link guides them through registration before joining

Contract Sharing
Contracts uploaded to an organization workspace are shared with the team:
- By default, every member of the organization can see every contract
- If department-scoped access is enabled, members and viewers only see contracts assigned to their departments, while owners and admins see all
- Admins and members can upload and edit contracts; viewers have read-only access
- Analytics and renewal alerts follow the same visibility rules
